Vacancy: Sending Coordinator

DESCRIPTION

The National Sending Coordinator is accountable for the effective leadership of AFS Intercultural Programs in India within the strategic and policy governance framework developed by the National Office.

a) Major Accountabilities:

  • Ensures the quality of all programs along the international guidelines issued by AFS.
  • Do the planning, preparation and realization of all Sending Program activities.
  • Oversee the coordination of selection interview for short programs & liaise with the volunteers and other staff.
  • Assist in the recruitment of students as well as host families.
  • Assist in the processing of all participants visas (national and internationals)
  • Assist in the coordination with the external travel agencies to arrange travel for student groups and seek fare offers
  • Help oversee all support cases for AFS IND students abroad with the assistance of the Program Director.
  • Ensure that AFS IND Sending Program processes and strategies are implemented to meet targets and international deadlines
  • Support in the organization of the orientation camps for all sending programs
  • Undertake rostered weekend on-call duties when required.
  • Take part in the organization’s emergency system
  • Assist on the preparation of promotional and training material targeted to volunteers and staff
  • Undertake field trips to develop new markets under the supervision of the Program Director.
  • Assist in the organization of alumni activities
  • Assist in other/inforeseen duties of AFS India, as assigned by the Program Director from time to time

b) Team Responsibilities:

  • Accept joint responsibility and ownership for the achievement of team outputs
  • Understand the roles and responsibilities of individual team members
  • Willingly support each other to meet program deadlines and team outputs
  • Have the flexibility to respond to situations which require urgent attention and a combined team effort
  • Communicate effectively and share information impacting on delivery of the programs
  • Participate in and contribute to regular team meetings and reviews of processes
  • Evaluate regularly the team’s performance in achieving objectives and outputs
  • Provide a seamless customer service to volunteers, partner offices and participants.

c) Skills and Abilities:

The National Sending Coordinator requires:

  • Previous experience working in team environment with pleasing personality
  • Knowledge of Windows XP and MS Office 2000/03.
  • Well organized, high level of accuracy and attention to detail.
  • Initiative, flexibility, cooperative working style.
  • Good oral, written and communication skills.
  • High level interpersonal skills and a commitment to high level customer service.
  • Ability to provide consistent, effective advice, support and education to geographically distant key volunteers.
  • Demonstrated People skills.
  • Ability to keep track of expenses
  • Knowledge of at least two Indian languages will be helpful. (Preferable from North, West and South).
